Modern Excel for Professional Services: 5 Functions Changing How We Work

Excel underpins daily operations in legal firms.

It supports billing analysis, WIP reviews, forecasting and partner reporting. Yet many teams still rely on legacy formulas and manual fixes that introduce risk.

Excel has moved on. Modern functions deliver stronger accuracy, clearer structure and better auditability. When used well, they improve control and confidence.

This series explores five functions that are reshaping how legal teams manage data. Each episode explains what the function does, why it matters and how it applies in practice.

Next, we turn to FILTER — and why legal teams should stop copying and pasting data every reporting cycle

In many law firms, reporting still involves a familiar routine:

  • Filter
  • Copy
  • Paste into a new sheet
  • Repeat next week

Whether reviewing WIP, overdue debt, matter lists, or fee earner performance, manual filtering creates multiple versions of the same data – and increases the risk of error.

There is a better way.

The FILTER function allows you to create dynamic views of your data that update automatically when the source data changes.

For example:

This instantly returns only the rows where invoices are marked as overdue.

  • No copying
  • No separate “report” sheet
  • No risk of forgetting to refresh

Why this matters for legal teams:

✔ Reduces manual intervention in financial reporting
✔ Prevents version control issues
✔ Supports cleaner partner dashboards
✔ Improves confidence during month-end and billing cycles

Practical applications in a legal setting:

  • Open matters only
  • WIP above a certain threshold
  • Time entries by department
  • Overdue invoices by client
  • Matters by responsible partner

Each result in the array corresponds to a value in

In the example shown above, the formula in F5 is:

Since the value in G2 is “Green”, the FILTER function extracts data from the array when the Team column equals “Green”. All matching records are returned to the worksheet starting from cell F5, where the formula resides.
